You can bring helpers onto a single event without giving up control. TokTix has two event roles — Partner and Scanner — and you pick which one when you invite someone.
The two roles
- Scanner — can see the guest list and check people in at the door. That's it. No analytics, no edits, no refunds. Perfect for door staff.
- Partner — can see analytics, the guest list, and can edit the event. A Partner cannot issue refunds. Good for a co-promoter or someone helping run the night.
Only the event Owner or an Organizer can issue refunds. Neither Partners nor Scanners can move money — that stays with you.
Invite someone
- Open your event and go to the Team tab (in the guest list area).
- Tap Invite.
- Enter the person's phone number.
- Choose the role: Partner or Scanner.
- Send the invite. They get a text with a link.
What the invitee does
They tap the link, which opens (or installs) TokTix, and accept. The accept screen spells out exactly what they'll be able to do for your event — scan tickets, see check-in progress, view analytics, or edit — based on the role you chose. Once they accept, they show up under your Team tab.
Remove someone
- Go to the Team tab.
- Tap the person, then Revoke access.
Their access ends immediately. If you ever re-invite them, TokTix restores their previous role rather than starting from scratch.
Note on invites
Teammates are for external helpers on a specific event. If you're building a standing brand with shared events and payouts, an Organization is the team model for an ongoing operation instead.
